Proposal CoordinatorJFC Staffing - Global
1) General Characteristics: Under the direction of the Director of Marketing, the Proposal Coordinator will assist with a variety of business development and communications operations including: proposal and opportunities development, agency prequalifications, Vision and database maintenance, client relationship management, project information management, and industry research. May also assist with newletters, direct mail, press releases, marketing research, promotional materials, trade shows, sponsorships, advertising, social media postings, and public relations efforts as needed. These activities are generally associated with public, private, and trade agencies for the purpose of securing transportation assignments for the firm. Other duties will be assigned as necessary.
2) Reporting Relationships: The Proposal Coordinator reports to the Marketing Director on a day to day basis. Proposal Coordinator also reports to the Chief Marketing Officer for evaluation and career development.
3) Duties and Responsibilities:
i. Work within the company’s Staff Manual and ethical standards in completing his/her assignments and duties;
ii. Understand the company’s brand and strategic plan and goals;
iii. Makes decisions on a daily basis that ensure both profitability and creative quality;
iv. Work collaboratively with internal and external partners; and
v. Ensure all deadlines are met with a high level of quality.
b. Under the Direction of the Director of Marketing
i. Develop, edit, assemble, print, and have delivered in a timely manner a variety of firm qualification materials, presentations, and other leave-behinds;
ii. Collect corporate project and personnel information and information related to opportunities/pursuits and store/retrieve in Vision as needed;
iii. Develop, maintain and organize data files, agency prequalifications, project sheets, resumes, market research, prospect and client information, and other resources. Research and gather information with independent follow-up;
iv. Participate in the development of project descriptions for use in either project sheets, SF330 forms, and / or website case studies and news releases;
v. Maintain various electronic and hard copy files;
vi. Assist with the completion of government forms, client questionnaires, and qualifying statements;
vii. Provide support for direct mail campaigns and other communications. Assist with the assemble of mailing lists and printing and distributing of proofs and other content for group mailings;
viii. Provide support for events and sponsorships, including attendance at and/or ordering, producing, and assembling materials for such events;
ix. Coordinate the development and distribution of an employee and client newsletter on a recurring basis; and
x. Additional duties and responsibilities as assigned.
a. Bachelor’s degree in English, Communications, Marketing, Engineering, or related major.
b. A minimum of seven (7) years of non-degree experience will be considered.
a. At least two (2) years of hands-on experience for Engineering / Architectural / Construction or related firms.
3) Knowledge, Skills and Abilities:
a. Knowledge of proposal processes and procedures as well as document formatting;
b. Knowledge and experience using Client Relations Management system such as Deltek Vision;
c. Strong written and verbal communication skills;
d. Strong general computer skills with proficiency in Microsoft Office applications — Word, PowerPoint, Excel, and Outlook;
e. Familiarity with Adobe Creative Suite and related software such as Photoshop, Illustrator, In Design, and Acrobat Professional;
f. PennDOT ECMS experience is preferred.
g. Strong organization skills with high standards of quality work;
h. Thoroughness and high attention for details;
i. Ability to set priorities and manage a diverse workload;
j. Ability to deal effectively with clients and coworkers;
k. Ability to organize vast amounts of information quickly and accurately with attention to detail;
l. Ability to initiate routine tasks without prompting;

Overtime may be required in meeting project deadlines;
Sitting for extended periods of time;
Dexterity of hands and fingers to operate a computer keyboard, mouse and other devices or objects;
Physically able to participate in presentations, meetings, conferences and trainings; and
Some travel may be required for the purpose of attending conferences, meetings, etc.
